Presentation Management

Presentation Management is the means of creating, storing, presenting, sharing, updating and tracking all files used for making presentations.  It organizes marketing information and presentations into easily navigated systems known as presentation libraries.[1][2][3]

Presentation life cycle[edit]

Presentation management believes that content should evolve along with a business.  According to the book Presentation Management: The New Strategy for Enterprise Content this evolution is seen through a constant lifecycle known as The Wheel.  The Wheel has seven components: Creation – Distribution – Sharing – Presenting – Social – Reporting – Updating.[4]

Slide library[edit]

Presentation management uses content libraries to organize information such as PowerPoints, Word docs, Excel spreadsheets, PDFs, infographics, videos, logos, or any other file created in order to build a company brand or sell a product/service.[5] These libraries are organized into different sections to make finding slides easier for employees.[3] Organizations can organize slides[2] by:

  • The company: history, mission, executive bios, earnings statements, press releases, etc.
  • Products and services: product description and details, product benefits, pricing, road map, case studies, etc.
  • Marketing: logos, images, videos, PowerPoint template, marketing plans, KPIs, etc.

Formatted files[edit]

Another concept of presentation management is that all information should be ready to use at all times.  This means that all data in the library is up-to-date and properly formatted. This makes presentation management strategies different from the strategies associated with using SharePoint or another CMS. With CMS, companies store assets in one location, but files can be old or outdated in some manner.  Effective presentation management means all files are active company assets, ready to be reused as often as necessary.[1][5][6]

Reporting and analytics[edit]

Reporting tracks the usage of each file in the library so that companies know what data is working, and what data should be discarded or updated. Quantitative analytics gathered from presentation management make content creation more efficient and productive.[5]

Compliance[edit]

Presentation management makes it possible for companies to monitor and control legal messaging, marketing messaging, and branding elements, ensuring that every file contains proper, up-to-date content.[3][6] With controlled permissions, companies determine who can download, edit, present, and share different content.[6]

Application[edit]

Presentation management solutions are currently on the market including Shufflrr, Slidebank and Presentationman.[7][8][9]
