Facilitron, Inc. is an American company operating a facilities management marketplace and software platform for schools and community facilities to manage the rental and maintenance of physical spaces such as public gymnasiums, sports fields, theaters, classrooms, pools and other facilities. The company operates as both software developer and online marketplace, developing the platform to allow schools to manage the internal and external hire of their facilities and providing the website-based marketplace to search for such facilities. Facilitron also provides facility owners with a data-driven facility management platform that streamlines scheduling, payment and maintenance issues to improve efficiency across multiple divisions or departments.

Facilitron was founded by Silicon Valley entrepreneur Jeff Benjamin, who had previously held executive roles at various startups alongside Mike Kapul and Joanne Hu, both of whom have extensive startup experience. Facilitron is a technology-based solution to provide efficient hire and management of school and public facilities.

Established in 2014 and launched in 2015, Facilitron began as a public spaces marketplace and technology solution that provides facility management software and services to schools and other public facility owners. The first iteration was presented to school districts in the San Jose, California area who provided feedback that led to a much expanded second iteration. This included more granular controls and the ability to manage both public requests and internal use of facilities by the school district. Facilitron was funded by founders and subsequent rounds of investment from angel investors including Michael Perone, Dave Faugno and E-Merge.[1]

In 2020, the company ranked 423rd on the 2020 Inc. 500 list of the fastest growing United States private companies by revenue.[2]

Services[edit]

Facilitron's core product is its facility scheduling and reservations platform. By contracting with facility operators who list their inventory of available facilities on the platform, Facilitron enables commercial rental of the facilities. Support services include customer and account support, insurance services, payment processing and collections services, consultative services and more. In exchange, Facilitron's software enables facility operators to manage a complex system of stakeholders, external and internal users with various roles and permissions and approval hierarchies. The system also collects a wide range of data on facility utilization, revenues and costs which can be used to improve systems and processes and to achieve a number of goals, including revenue goals, that facility operators may seek to establish.

Facility Management Software[edit]

Facilitron's facility management platform focuses on automating scheduling and reservation requests for internal and external users, tracking and reporting cost and managing maintenance scheduling.

School Facility Management[edit]

Facilitron’s system is managed by school administrators, and provides oversight and management of requests of requests to hire fields, gyms, theaters, classrooms and other properties across a school district. The systems includes customer facing tools such as calendar availability and booking confirmation, as well as administrative tasks such as invoicing, EIN registration and auto-verification for nonprofit organizations.

Work Order Management[edit]

In 2019, Facilitron acquired a Mission Viejo California software company LoginLogix [3] adding a fully developed work order system to its product offerings. After the acquisition, Facilitron invested in integrating the standalone system with the scheduling and reservation platform to provide a more complete solution for facility management.

LoginLogix founder and principal software architect Tom Rayburn, a former director of maintenance at a school district, joined Facilitron and continued to lead the development of the work orders system.

Adding LoginLogix to the product provided facility operators both a work orders system and an event system. While the work orders system operates independently, integrating the platforms meant HVAC, lighting, custodial or security appear in the system and update in line with orders.

By 2020, Facilitron added other features such as a drag-and-drop work scheduler and a "Tool Room" asset tracking system.

Attendee Management[edit]

In response to the COVID-19 crisis in 2020, Facilitron developed a touch-free system to allow school districts and other facility operators to manage track and trace needs to allow schools and public/private facilities to reopen safely. The Attendee Management feature enables facility operators to accurately register and track all personnel, volunteers, vendors, parents and other attendees who are using facilities.

Data and Cost Analysis[edit]

The Facilitron platform generates operational and financial data about facility use with a suite of reports. These reports and the data gathered by the system are offered as a means to ensure compliance to ensure compliance on equitable use (Title IX) and management of replacement and refurbishment projects. It's also offered for use in managing budgets and financial targets.

As the business grew, Facilitron developed this data-driven reporting into a separate service to aid facilities in planning budgets and maintenance needs. By providing actual utilization data - particularly for both internal and community use of district facilities, life spans for components such as gym floors, turf fields, scoreboards or HVAC units can be more accurately managed.

Formalized data collected by the system is used to develop consultative best-practices, system and process changes, and financial and utilization goals. For school districts, the data is used to report to school boards.

Transactional Business Model[edit]

Facilitron’s business is based on a transactional business model, in which the cost of the software and services are funded solely by the rental program itself, allowing clients to partner with Facilitron with no license fees or allocation of upfront funds.[5]

As of 2020, Facilitron operates throughout the United States and has more than a million active users.

Facilitron employs ~50 people. The listing in the Inc. 500 List states that the company grew 1080% in 2019[6]
