R2 Docuo is an ECM.[1] solution for document management, file hosting and workflow management developed by R2 Sistemas Informáticos. It was created as a SaaS service so that organizations could manage their documents and model their own business processes[2] in the cloud, without any programming knowledge, using finite-state machine diagrams[3]
Cloud storage and file sharing
The functionalities related to the cloud are essential in the product, since it can only be used by this means (there is no option to implement it on local servers)[4]. In addition to allowing workflows to be coordinated from any location, centralized file storage and secure file sharing with users outside the organization are main features. The files in R2 Docuo maintain a history of versions and operations carried out against them with the only limit of the space contracted.
For the exchange of files with third parties, public links can be generated so that users without an account in R2 Docuo can download the files that are authorized, being able to protect these links with an expiration date and with a password[5]. In addition, accounts can be created for collaborators in case there is a frequent exchange with external personnel. The historical version of the files is unlimited. The files are stored in servers located in the EU[6] and the service is governed in terms of privacy, confidentiality and data protection by Spanish and European laws.[7]
Document and workflow management
R2 Docuo allows you to sort files by categories (e.g., offers, contracts, procedures, etc.), as well as modify their metadata, upload digital certificates in the system to electronically sign documents or maintain strict version control.
Since it is common for documents in a given category to be part of an organization's business process, R2 Docuo allows you to visually define the workflow that the documents of a category follow graphically, by means of a state diagram. This facilitates the work to users without a high technical level since the processes are configured through the use of assistants.[8]
The customization of workflows[9] that can accompany each document can be adapted to the specific operations of each company for their specific processes.
To specify these workflows, the user can create state diagrams with the same notation as that used in the automation theory of a finite-state machine. In this notation, a circle corresponds to a possible state of the document and an arrow corresponds to a transition or change of state of the same. Other cases of use of workflows are the management of commercial actions, the life cycle of software products using agile methodologies,[10] the implementation of quality management systems[11] or the management of customer service processes.[12]

In addition to its web version, there is a Microsoft Windows desktop application, and mobile Apps for iOS and Android[13] devices.
